The process
Situation
Internally we always had the discussion who is authorized for what and although we had a document for this. Each time somebody left the company or changed of function after a while the confusion started again. “We haven’t seen the update, etc.”
Approach
We knew that we had to have this information all the time online available for every employee, so that it was clear for everybody. You couldn’t’ t say “ I didn’t know” or otherwise some can say, if you look there you know who is authorized to sell or purchase for this amount.
We selected this online tool as it was not expensive and filled our needs. It was also GDPR proof as we only showed kept track of the names – not any other personal data. That is in the HR-application. Of course, the information was only available via the intranet. A monthly download of the needed data of the HR-application, is uploaded in this F-suite SAAS solution. Only when functions changes (new, deleted) we have to adjust the schemes. A real-time API is for us not necessary.

That everybody in the organization can type the name of a person and see where he/she is authorized to, or for example which to check may I place this order or has some to sign some else as well. This saves a lot of internal communication.
